Position Summary
Provide high level support to the Leadership Gifts ($5m +) team comprised of 3 staff for all administrative functions that support and enable a high-functioning team to achieve leadership gift fundraising success. The Leadership Gifts Associate participates in almost all areas of the department’s functions.
This includes, but is not limited to

- Monitor and track leadership gifts related actions, including, but not limited to:
- Status updates, activities, and proposals; track solicitations.
- Create & maintain Leadership Gifts meeting calendar for tracking of key meetings between prospects and donors, Weizmann president, CEO, VPs, and other leadership and constituents.
- Track leadership gifts prospects & donor visits on the Weizmann campus.
- Responsible for data entry in Raiser's Edge and NXT on the above items in coordination with Leadership Gifts team.
- Responsible for preparing and distributing meeting agendas and materials for global prospect meetings. Record minutes and action items during the meeting.
- Create & produce bespoke correspondence: acknowledgement letters, memos, proposal cover documents and other internal and external communications.
- Submit proposal requests via internal portal in coordination with Leadership Gifts fundraisers.
- Calendaring and scheduling of strategy calls and meetings for team with CEO and other senior leadership, record and transcribe minutes, track follow-up activities, and prepare development collateral materials (e.g., briefing memos, bios).
- Schedule meetings between leadership gift fundraisers, prospects, and donors in collaboration with the Leadership Gifts team.
- Collaborate with Donor Relations & Leadership Engagement department team to coordinate visit requests to the Weizmann campus.
- Assist with portfolio review research preparation and reporting.
- Process expenses via on-line expense reporting system.
- Manage day-to-day internal administrative office tasks such as travel/hotel arrangements for dept., etc.
- Proofread all materials; create mail merge mailings.
Skills and Abilities Required:

- Experience and knowledge of Blackbaud Raiser’s Edge/NXT software or similar CRM necessary.
- Superior computer skills, including experience in all MS Office programs (Word, Excel, PowerPoint, and Outlook).
- Excellent written, oral communication.
- Strong proofreading skills and grammatical accuracy. Must be able to effectively multi-task and meet deadlines set by various constituents.
- Ability to perform administrative tasks at a high level, and to work independently on self-directed projects as well as part of a team.
- Ability to multi-task in a fast-paced environment and demonstrate efficient time management skills. Ability to prioritize workload.
- Highly organized with strong attention to detail and follow-through.
- Excellent interpersonal and telephone skills; comfortable interacting with staff across all levels and with donors.
- Energetic and resourceful collaborator.
- Comparable work experience in an office setting.
- This is a hybrid role. Candidate must be prepared to be in the office as required.
