Executive Assistant

Summary of Position

The Executive Assistant will support the Managing Director of Major Gifts and the Managing Director of International Partnerships. This newly created role will be responsible for calendaring, meeting schedules, travel arrangements, and itineraries and will serve as his right hand including administrative support. The Executive Assistant will work closely with the fundraising administrative staff who support 15+ Philanthropic Giving Officers based across the US. The PGOs are high-level fundraisers whose portfolios include high-net-worth individuals and foundations. This candidate will possess exceptional organizational skills, a keen understanding of high-level fundraising practices, and the ability to effectively gatekeep. 

Key Activities: 

    • Calendaring, travel and hotel arrangements, itineraries, meeting scheduling, and coordinating between internal and external stakeholders. 
    • Coordinate donor meetings and visits. 
    • Maintain Inbox on behalf of Managing Director, Major Gifts. 
    • Run reports, create presentations, draft and edit correspondence. 
    • Maintain and update database records and gift acknowledgment, thank you correspondence, and other donor and prospect-related items. 
    • Prep and schedule portfolio reviews. 
    • Assist with fundraiser retreat planning and coordination of content. 
    • Process expenses and approve invoices. 
    • Attend meetings virtually, representing the Managing Director and ensuring that salient points are communicated effectively.
    • Serve as right hand attending meetings, taking notes and follow-up as required on behalf of Managing Director, Major Gifts. 

Minimum Qualifications & Requirements: 

    • Bachelor’s degree required. Additional certifications (e.g., CFRE) a plus. 
    • Proven experience in a similar role supporting senior executives in a fast-paced environment. Must be articulate, understand nuances and diversity of audiences. 
    • Able to balance between assertiveness and accommodating. 
    • Strong understanding of high-level fundraising practices or equivalent experience. Hands-on approach with administrative tasks. 
    • Exceptional organizational and time management skills. Excellent written and verbal communication skills. 
    • Ability to work independently and within a team. 
    • Proficiency in virtual meeting platforms and other relevant technology. 
    • Candidates must be committed to implementing best practices, demonstrate an adherence to the highest standards of ethical practices, and possess superb communication skills. 
    • An appreciation for the mission of the Weizmann Institute of Science a plus. 

Computer Skills required: 

    • Strong experience and proficiency with Raiser’s Edge (NXT) or another CRM tool. 
    • Working knowledge of Moves Management as a fundraising strategy helpful.  
    • Proficiency in Microsoft Word, Excel, PowerPoint SharePoint, OneDrive, and Outlook.
